Student Affairs Coordinator

JOB CLASS: Part – time, year round (20 hrs. per week)

REPORTS TO: Registrar & Director of Student Services

SUMMARY: The Student Affairs Coordinator provides support to all students in securing the resources, services and other accommodations necessary to successfully complete programs at Maine Media College. The Coordinator provides assistance to the Registrar in the areas of student registrations, record-keeping and reporting. Provides assistance, as required, for student support services, and Young Artist program counselors.

PRINCIPAL RESPONSIBILITIES:

  • Develop, implement and coordinate student services, policies, and procedures for compliance with ADA.
  • Develop and implement programs designed to support student and campus community life.
  • Develop and coordinate student orientation programs.
  • Connect students with learning resources.
  • Create and maintain relationships with professionals to provide mental and physical health resources for students.
  • Assist in maintaining the records, registration and graduation functions, including transcripts and other internal reporting. Monitor accuracy, efficiency and effective workflow to provide outstanding service to all students.
  • Serve as the first point of contact for visitors entering the Student Welcome Area. This includes creating a welcoming atmosphere by greeting and answering questions for visitors, students, staff, and faculty via telephone, email, and in-person.
  • Be knowledgeable about MMC policies and procedures.
  • Maintain confidentiality and security of student records and comply with various laws including but not limited to FERPA and UC Hastings privacy rules.
  • Assist in maintaining the records, registration and graduation functions, including transcripts and other internal reporting. Monitor accuracy, efficiency and effective workflow to provide outstanding service to all students.
  • Assist in supervising, mentoring and evaluating staff student support services and the Young Artist program counselors.

QUALIFICATIONS:

  • BA degree preferred
  • Experience in educational administration and detailed record keeping preferred
  • Proven record of supervisory experience and working as a member of a leadership team
  • Demonstrated understanding of the technology needed to deliver records and registration services
  • Record of working successfully with diverse populations of students, faculty and staff

OTHER REQUIREMENTS:

  • Strong written and verbal communication skills
  • Superb interpersonal and communication skills dealing with a wide range of constituents including students, faculty, staff members, alumni, and visitors.
  • Discretion in handling confidential information.
  • Ability to work collaboratively as member of team
  • Arts education & administrative experience
  • Familiarity with software tools such as Salesforce, Excel, Word, Power Point, Google docs
  • Ability to work with content management system (Salesforce) on the web and social media.
